| Teams,
Several
municipalities use the ASA Championship as a state qualifying meet. These
include Alpharetta/Milton, Forsyth County, John’s Creek, and Sandy
Springs. Cherokee County, DeKalb County, Gwinnett County, Brookhaven,
Roswell and Tucker have separate qualifying meets held on different dates
at different locations. For full information on state qualifying
procedures for all municipalities please visit https://asa.swimtopia.com/grpa-state-and-state-qualifying . It is the responsibility of each
team to educate themselves on how to qualify for state and to follow those
procedures as instructed.
Just a reminder
for our Forsyth County, Alpharetta, and John's Creek teams whose swimmers
are using the ASA meet for state qualifying purposes. You need to mark the
first name of your swimmers by changing the first few characters of their
FIRST name to the designated marker for your state team.

AL8
Forsyth is - sub7
Johns Creek - JC6
Sandy Springs -
SP5
For example if I
wanted to qualify for the Alpharetta state team (I wish) my name should be
changed to AL8Franke Marsden.
This can be done
in Swimtopia (see below). Go to the people menu for your team and manually
update that information (you can change it back after the meet is done and
you have imported your results.
If
your swimmer has a preferred name in the system (John wants to be called
Jack), be sure to change both the given name AND the preferred name. If you
don't change it both places it will not appear in the heat sheet or
results.
If you have marked
your swimmers for state qualifying purposes, make sure you see that marker
in front of the swimmer's first name in the meet entries report (Entry
Matrix, Entries by Name or Entries by Event) you create for
yourself. If you don’t see that marker on those reports, it won't be
in the heat sheet. In most cases this has to deal with the swimmer
having a "preferred name" in Swimtopia. The state qualifying
marker must be listed in the first name field AND the "preferred
name" field to show up in the heat sheet. Please see the picture below
to ensure you do this correctly and avoid issues.
Once I publish the
psych sheet and entry lists for the meet on Saturday, June 25 please check
that info carefully to ensure that name is appearing as you entered it.
Entering a Third
Event
Swimmers who are
marked as qualifying for state can enter a third event specifically for
state qualifying purposes only. This is usually the short freestyle event.
These are the ONLY swimmers who are allowed to enter a third individual
event. To get Swimtopia to allow the entry of the third event teams must
check the Bon box in the entry interface (see below). Teams must also
designate that event as an exhibition event. It will not be allowed to
score points or receive awards in the ASA Championships. To do so, be sure
to also check the exh box for the third event (along with the Bon box that
allows you to enter the third event to start with). Please see the picture
below right where BOTH boxes are checked/ This will make sure a swimmer
does not score in or receive awards for the third event they are swimming
for state qualifying purposes only.
