2025 ASA May 1 Updated Coaches List and Meeting Reminders

2025 ASA May 1 Updated Coaches List and Meeting Reminders

    May 1, 2025

    Teams,

Here is a link to the updated list of coaches who have completed their requirements for background checks and coaches certification, Coach Certification and Background Checks . The list is current as of the end of April. Please check the list to see if your coaches are included. A couple of reminders:

Coaches age 18 and older MUST complete a background check and provide results to their team coordinators before interacting with swimmers on the team. This is an ANNUAL requirement.

Team coordinators who have regular interaction with their swim team members should also complete a background check and provide those results to their fellow team coordinators for their team.

Coaches age 18 and older must also pass the Coaches Certification course prior to interacting with swimmers on the team. This class must be completed, including passing the test with the clinic once every 3 years.

If you coach will turn 18 during the season, you should have them complete the background check and provide their team coordinators the results.

Coaches Age 17 and older MUST complete the Coaches Certification course only, the background check is optional for coaches age 16 and under.

If your coach has NOT met the requirements above should NOT be permitted to coach until they do so.

If you have any questions about this, please e mail at [email protected]. Please note some coaches have used a different name for the course and the check, so we are having to manually cross check those so there many be some missing names.

Don't forget, it is the responsibility of each team to have their coach provide them the results of the background check and for the team to verify the coach passed this check. Even though they are listed as having completed the background check it is still the responsibility of each team coordinator to view the results of those background checks and ensure there are no red flags that would prevent that person from working with your team. For obvious privacy reason the results of those background checks can only be provided by the person who had the background check performed. Also, if someone is not listed on the most recent report but they have provided you with their results for their check for this year that person is good to go to interact with your swimmers.

We appreciate your patience. Because many coaches do not use the same name, We are having to manually cross check the lists with about 800 names. I do not know if "Tom Jones" and "Bob Jones" are the same swimmer or a swimmer and volunteer so I can not include them on the list until I confirm that they are the same person.

Also, any backgrounds checks being processed for updates do not make this list and will be included in the next list. Our plan is to update this list weekly, and we will e mail teams once updates are posted.

If you have any questions about your coach or want to check on a specific coach, please email Leah Hinnefeld [email protected]

    Upcoming ASA Meetings and Training

    Ribbon Pickup

Teams will have several options for ribbon collection. Teams can pick them up next week's ribbon pickup/meet procedure meeting, your coaches can pick them up during one of the coaches meetings, or we can deliver them to you (for a fee). Please refer to the following form to select the option that best fits the needs of your team Ribbon Pickup Form .

Your ribbons will be ready for pickup beginning at 4:00 PM Wednesday, May 7 at the Marist School Aquatic Center. I will be at the pool until at least 8:00 pm. Marist has asked that we not come onto campus until then, due to school being in session. They have been gracious enough to provide us a central location for teams to swing by, please show your gratitude by following these instructions. Please do not try to come to Marist outside of the scheduled pickup times to collect your ribbons.

You may come by the upstairs lobby of the pool after that time to pick up your ribbons. Marist is located at 3790 Ashford Dunwoody Rd., the pool is at the back of campus. Please make sure to take the correct team box, there is a label sheet in the top of each box that lists the team name, as well as all of the contents of the box. Please check your box to make sure what is listed on your team's box is what is in the box. If your team received significantly fewer or more ribbons that what is listed on your box, e mail me and I will make arrangements to fix any goof ups on my part.

If your team cannot come pick up ribbons on that date, teams may also pick up their ribbons during either of the coaches meetings on May 18 or May 25, or have them delivered (for a fee). Please make your choice via the form link listed above

2025 May Ribbon Distribution and Meet Procedure Review - Weds. May 7 at 7 pm at Marist Teams can pick up their ribbons for the season on this date. This meeting will be in person and is specifically designed to walk teams through the process of running a swim meet. We will cover an in depth review of all of the jobs involved in running a swim meet and the process flow of how all of these jobs interact amongst each other.

    Coaches’ Meeting/Rules Clinic

Please remember, coaches are required to attend one of the two mandatory coaches’ meetings on either Sunday, May 18 or May 25. At least one member of your coaching staff must attend one of the rules meetings or your team is subject to a fine from the league. If they participated in the April rules Zoom meeting they have met this requirement and do not have to attend one of the May meetings. Both meetings will have a virtual option (as well as in person). Both meetings will be available in person at the Marist pool at 3790 Ashford Dunwoody Rd. The zoom link for the meetings are as follows

I strongly encourage teams to send as many of their coaches as possible to the meeting though, as it covers a great deal of pertinent info on the league and this season.

    Meet Schedule Updates/Changes

If your team has agreed to change the date of your meet, please update the league by using the link Meet Change Request to notify us the new date of your meet. This will allow us to ensure your meet has an official for the correct date.

Please notify the league of any changes to your schedule NO LATER THAN Monday, May 13.

We are really excited about the upcoming season and the fun that your teams offer your families and the community. Please stay tuned, as we will do our best to provide you as much info and guidance as possible. If you have any questions in the meantime, please don't hesitate to call or e mail as we are always happy to help.

    Thank you again,
